Privacy notice
Last updated: October 8, 2026
This notice explains what information Assessment Appeal LLC ("Assessment Appeal", "we") collects, why, who we share it with, and how long we keep it.
Information we collect
- Public records. Property assessment and tax data published by Indiana and its counties, including owner names and assessed values. We use these to find properties and to write estimates.
- Contact details you give us. Name, email, phone, and the address or parcel you searched for, when you ask for a review or call us. If a search finds nothing and you do not send us the form, we do not keep what you searched for; we only count that a search found nothing.
- Owner and signer details. Your companies' legal names and mailing addresses; the name, title, email and phone of each signer, second contact, and any delegate you name.
- Documents. Form 11 notices, answers about your property, lease information, and, for hotel and income cases, business financial documents such as profit and loss statements (P&L) and rent rolls.
- Electronic signatures. The signed fee agreement, powers of attorney (State Form 23261), authority letters, letters of intent, and the record of each signature: who signed, when, a one-way hash of the internet address used (not the address itself), and the browser used. Our e-signature provider also keeps an audit trail of each signing, which we store with the signed document.
- Your decisions. Each approval, skip, withdrawal or cancellation, with the date and time.
- Technical data. IP address, used to limit misuse of the lookup box and the sign-up and sign-in
forms. If you open a link an advisor gave you (it ends in
?ref=and a short code), a cookie holds that code for 30 days so we know who introduced you; it holds nothing else. If you tell us how you heard about us, we keep that answer with your signup. Our website does not use advertising or tracking cookies.
Why we use it
- To estimate tax savings, prepare and file appeals you approve, and represent you at meetings and hearings.
- To contact you about your case: deadlines, briefs, evidence, decisions and invoices.
- To prepare invoices after an official decision.
- To meet legal duties, for example keeping records and answering a board or the DLGF.
- To protect our service from misuse.
We use records about property sales only to compare property values. We do not use contact details from those records to contact anyone.
Who we share it with
- The assessor and the county board (PTABOA). We share only the forms you sign and the evidence sections you approve. If you leave out a section, we do not share it.
- Our certified representatives, including the successor representatives named on your power of attorney.
- Service providers who work for us under contract: electronic signature, email delivery, hosting and file storage, and error reporting. They may use the information only to provide their service to us.
- An attorney you choose, only if you ask us to send them your file.
- When the law requires it, for example a valid legal order.
We do not sell your information. We do not share it for advertising.
How long we keep it
- Business financial documents (P&L, rent rolls, income summaries) are deleted 12 months after your case closes.
- Other records (agreements, signed forms, filings, decisions, invoices, and our notes) are kept as long as the law requires for tax representation and business records.
- If you ask us to stop contacting you, we keep a short note of that request so we do not contact you again.
How we protect it
- Owners act through signed links that expire and work for one purpose only.
- Our staff log in with multi-factor authentication.
- Document downloads by staff are logged.
- Information is sent over encrypted connections.
No system is perfectly secure. If a breach affects your personal information, we will notify you without unreasonable delay, and notify the Indiana Attorney General if required, as Indiana's data breach law (IC 24-4.9) requires.
Your choices
- Ask us to stop contacting you at any time.
- Ask what information we hold about you, or ask us to correct it.
- Ask us to delete information we do not need to keep by law.
